Privacy Policy

How MoveFlow Cloud collects, stores and protects your data.

1. Information We Collect

We collect the following categories of information to operate the MoveFlow Cloud platform:

  • Account data — name, email address, company name, role, and authentication identifiers.
  • Customer & lead data entered by removals companies — names, addresses, contact details, move dates, notes.
  • Uploaded survey media — photos and walkthrough videos of properties submitted via virtual survey links.
  • AI-generated inventory data — item lists, cubic-footage estimates and confidence scores derived from media.
  • Operational data — quotes, bookings, payments, calendar events, crew and vehicle assignments.
  • Technical data — IP address, browser type, device data, log timestamps and session cookies.

2. Uploaded Media Handling

Customer-uploaded photos and walkthrough videos are stored securely in encrypted cloud storage and used only to:

  • Generate AI inventory and cubic-footage estimates for the removals company that issued the survey link.
  • Allow that company's staff to review, edit and produce a quote.
  • Provide an internal admin-only video estimator tool used solely by the MoveFlow platform owner for accuracy review and quality assurance.

Media is never sold, never used for advertising, and never shared with other removals companies on the platform.

3. Google Authentication Data

If you sign in with Google, we receive only your name, email address and Google account ID. We do not access your Gmail, Drive, contacts, calendar or any other Google service. You may revoke MoveFlow's access at any time via your Google Account security settings.

4. How We Use Your Data

  • Provide the survey, AI estimation, quoting, booking and scheduling features.
  • Authenticate users and protect accounts.
  • Send transactional emails (survey invitations, quotes, deposit confirmations, move confirmations).
  • Improve estimation accuracy through aggregated, non-identifying performance metrics.
  • Comply with legal, accounting and tax obligations.

We do not perform automated decision-making with legal or similarly significant effects. AI inventory estimates are always reviewable and editable by human staff before any quote is sent.

5. Security Measures

All data is transmitted over HTTPS/TLS. Uploaded media is held in private, access-controlled storage buckets. Database access is governed by row-level security so each removals company can only see its own data. Passwords are never stored in plain text. Administrative access is restricted and audited.

6. Third-Party Services

We rely on a small number of trusted sub-processors:

  • Supabase — managed database, authentication and file storage (EU region).
  • Google OAuth — optional federated sign-in.
  • AI providers (including Google Gemini and OpenAI via the Lovable AI Gateway) — to generate inventory estimates from uploaded media.
  • Stripe — payment processing for customer deposits.
  • Email delivery providers — for transactional email.

7. Data Retention

Survey media and lead data are retained for as long as the removals company holding the account requires them, and for a reasonable period afterwards to support warranty, dispute and accounting obligations. You can request deletion of any record at any time by contacting us.

8. Your Rights (UK GDPR)

If you are based in the UK or EEA, you have the right to:

  • Access the personal data we hold about you.
  • Request correction or deletion of your data.
  • Object to or restrict certain processing.
  • Request a portable copy of your data.
  • Withdraw consent at any time.
  • Lodge a complaint with the UK Information Commissioner's Office (ICO).

9. Cookies & Sessions

We use strictly necessary cookies and local storage to keep you signed in and to remember interface preferences. We do not use third-party advertising cookies or cross-site tracking.
